Track your bills for our services and report each time you make a payment.


What is the Invoices section for?

Check your billing list

You will have available a detailed inventory of all your invoices with which we aim to provide you with the greatest possible transparency regarding the value of each service, allowing you to easily reconcile the cost of your transactions.

Manage each invoice

For each item on the list, you will have the option to:

Download invoiceGet a digital copy of your invoices for your personal file or accounting.
Download debt breakdownAccess a detailed breakdown of the composition of each billing item.
Report paymentLet us know when you have made payment for an invoice to keep your records up to date.
Report a problemIf you encounter any issues with a specific invoice or have a query, you can report it directly from the "Need help?" section of the Dashboard so our team can assist you in resolving it.

Invoice list

Each time we generate new invoicing, it will automatically appear in your Dashboard list, and we will send you an email to notify you.

In each row, you can preview important information about the invoice such as the identification number, status, issuance date, due date, and amount.

These invoices will accumulate in your list so that you can consult them again whenever you need to.

Status

Each bill will have one of the following assigned statuses:

PENDING PAYMENTThis is the initial status of each bill. You have not made the payment yet, and the due date has not been reached either.You can report a payment.
PAYMENT REPORTEDYou have reported the payment, but it is still being verified.-
MISSING RECEIPTYou have reported the transfer, but you have not sent the withholding receipts. Only applicable if you are a withholding agent.You can report the withholding receipts.
PARTIAL DEBTYou have not paid the full amount of the bill, there is still part of the debt pending. Please note that if you do not complete the payment for the pending debt before the due date, it will change to the OVERDUE status.You can report an additional payment, in the same way you did the first time.
PAIDOur team has approved your payment report.-
OVERDUEYou did not pay the bill before the due date.You can report a payment, but please note that you may incur interest and penalty charges on this item.

Report payment

By selecting "Report payment", a side window will open in the section where you must notify us each time you make a transfer.

There you will find the bank details of the account to which you must send the money and the exchange rate if you make the payment in a currency other than the one indicated on the bill. Additionally, you will need to complete the payment details and attach the transfer and withholding receipts, if applicable.

Please note that it is very important that you report each of your payments so that our team can register them in a timely manner. Otherwise, you may accrue interest and penalty costs.

When reporting your payment, it will automatically change to the PAYMENT REPORTED status. If our team verifies that the transfer was successful, we will approve it, and it will change to PAID.

Otherwise, if our team does not receive the money in the bank, the receipts are incorrect, or the payment is incomplete, we will reject your payment, and it will return to the PENDING PAYMENT status.

In that case, you will always receive an email specifying the reasons for the rejection, and you will need to report the payment correctly again.

Withholding agent

If your company is a withholding agent, upon receiving our bills, you will be responsible for calculating and withholding a portion of the billing amount for our services and pay it as taxes to the state.

Every time you report the payment of a bill in the Dashboard, if you are a withholding agent, you must include the necessary receipts to validate that you have paid the corresponding amount.

If you do not have the withholding receipts at the time of sending us the transfer for our services, you can report the payment and later submit the receipts. But please note that the bill will remain in the MISSING RECEIPT status and will not be fully settled until you notify your contributions to the tax authority.

It will be your obligation to ensure compliance with the tax obligations applicable to your specific region and report any withholdings you make so that we can record them in our system.

Download invoice

You can download copies of all your invoices in .pdf format from the list:

  1. Select the invoice you want to download.
  2. A side window with the invoice details will open.
  3. Click on the "Download invoice" option.
  4. Open the file with the program of your choice.

Download debt breakdown

For each billed concept, we will generate a file with the details of the items used to calculate your debt. To download it, follow these steps:

  1. Select the bill you want to download.
  2. A side window with the bill details will open.
  3. Click on the "Download debt breakdown" option.
  4. Open the file with the program of your choice.

Report a problem

If you encounter any issues with a specific bill or any of the concepts, report it directly from the Dashboard. This will expedite your claim reaching the corresponding team quickly, ensuring faster and more efficient assistance.

To report a problem, follow these steps:

  1. Go to the "Need help?" section in the lower right corner of the screen.
  2. Select the "I need to contact Pomelo" option.
  3. Detail your problem and send the request.
  4. Our team will contact you as soon as possible and assist you in resolving it.

Bank details

To view the account details to which you must transfer the money, select a bill, click on "Report payment", and there you will be able to see the bank details and the exchange rate that will be taken into account for the payment that day.
